Privacy Policy

We don't sell your data.

Not to advertisers, not to data brokers, not to anyone. We collect what we need to book you, do your hair well, and take your payment — and that is where it stops.

Our Promise

Ivory Salon does not sell, rent, trade or otherwise disclose your personal information to any third party for money or for any other valuable consideration, and we have not done so at any time in the past twelve months. We do not share your information with data brokers, advertising networks, or list-rental companies.

We collect the minimum we need to book you, take care of your hair, take your payment, and stay in touch if you have asked us to. That is the whole business model. Nothing about your visit is a product we sell.

This Privacy Policy explains what we collect, why we collect it, who ever sees it, how long we keep it, and the rights you have over it. It applies to ivorysalon.co, to our online booking, and to information we collect in the salon.

II

Information We Collect

Depending on how you interact with us, we may collect the following categories of information.

Information you give us

Identifiers and contact details — your name, phone number, email address, and (if you provide it) your mailing address or birthday for our birthday offer.

Booking and service records — the services you book, which stylist you see, appointment dates, formulas and processing notes your stylist records so your color is consistent next visit, product purchases, and notes you share such as allergies, sensitivities, scalp conditions or a pregnancy that affects a service.

Payment information — handled and stored by our booking and payment providers. Ivory Salon never stores your full card number. We see only the card type, the last four digits, and whether a transaction succeeded.

Messages you send us — texts, emails, form submissions, direct messages on Instagram or TikTok, and photos you send us of your hair or an inspiration image.

Information collected automatically

When you visit ivorysalon.co we may collect standard technical information: IP address, browser and device type, referring page, the pages you view, and general (city-level) location inferred from your IP address. This is used to keep the site working and to understand which pages people actually read.

Sensitive information

Some of what a stylist needs to know — a scalp condition, an allergy, a medication, a pregnancy — can qualify as sensitive or consumer health information under California and other state law. We collect it only to perform your service safely, we keep it in your client record, we do not use it for marketing, and we never share it with any third party for their own purposes.

III

How We Use It

We use your information only for the following purposes:

  • To book, confirm, reschedule and remind you about appointments.
  • To perform your service safely and consistently — including keeping your color formula and history on file.
  • To take payment, issue receipts, apply account credit and manage gift cards.
  • To answer your questions and follow up on a service.
  • To send you offers, promotions and salon news — only if you have opted in, and only until you opt out.
  • To run our loyalty and referral credits.
  • To improve our website, understand what people are looking for, and fix problems.
  • To keep required business records, and to comply with tax, accounting and legal obligations.

We do not use your information to build advertising profiles, we do not perform automated decision-making or profiling that produces legal effects, and we do not use your service notes or photos for anything beyond your care and — with your permission — our own portfolio.

IV

Who Ever Sees It

We share personal information only with service providers who process it on our behalf, under contract, for the limited purposes we specify — never for their own marketing.

  • Our booking and point-of-sale platform (Vagaro), which hosts appointments, client records and payment processing.
  • Payment processors and card networks, for the sole purpose of completing a transaction.
  • Email and text-message providers, when you have opted in to hear from us.
  • Website hosting and analytics providers that keep ivorysalon.co online and measure basic traffic.
  • Professional advisors — our accountant or attorney — where genuinely necessary.

We may also disclose information where we are legally required to: in response to a valid subpoena, court order or lawful request, or to protect the rights, safety and property of our clients, our team or the salon. If Ivory Salon were ever sold or merged, client records could transfer as part of that business — and you would be notified before any change to this policy affecting your information.

Ivory Salon is the business responsible for your booking information. Although our booking software is operated by a third-party provider, we — not they — decide how your client record is used, and this policy governs it.

V

Text Messages & Email

If you provide your mobile number, we may send you appointment confirmations, reminders and changes. If you separately opt in to marketing messages, we may also send offers and salon news. Message frequency varies. Message and data rates may apply.

SMS consent and mobile phone numbers are not shared with any third parties or affiliates for marketing purposes. No mobile opt-in data is shared. Consent to receive text messages is not a condition of booking an appointment or purchasing anything from us.

To stop text messages, reply STOP to any message from us — you may receive one final message confirming that you have been unsubscribed. Reply HELP for help, or contact us directly. To stop marketing emails, use the unsubscribe link at the bottom of any email. You cannot opt out of essential transactional messages such as an appointment confirmation while you have an upcoming booking.

VI

Cookies & Analytics

Cookies are small files a website stores on your device. We use them sparingly, in three categories:

  • Strictly necessary — required for the site and the booking widget to function.
  • Performance and analytics — aggregate measurement of page views and traffic sources, so we know which pages are useful. This data is aggregated and is not used to identify you personally.
  • Third-party embeds — our booking provider and social embeds may set their own cookies when you interact with them, governed by their own policies.

We do not run retargeting or cross-context behavioral advertising, and we do not place advertising pixels that follow you around the internet. You can block or delete cookies in your browser settings; blocking strictly necessary cookies may break online booking.

Do Not Track. Some browsers can send a "Do Not Track" signal. We honor legally recognized universal opt-out signals, including the Global Privacy Control, where applicable — and because we do not sell or share personal information at all, there is nothing further to opt out of.

VII

Photos & Social Media

We photograph and film work in the salon for our portfolio and social channels. Tell us at check-in if you would rather not be photographed and we will keep you off camera — no explanation needed. If a photo of you has already been posted and you want it removed, message us and we will take it down.

If you tag us or message us on Instagram or TikTok, those platforms collect and process that interaction under their own privacy policies, which we do not control.

VIII

How Long We Keep It

We keep your client record — contact details, appointment and formula history — for as long as you remain a client and for up to five years after your last visit, so that returning guests do not have to start over. Transaction and financial records are kept for seven years to meet tax and accounting requirements.

Marketing contact information is kept until you unsubscribe, after which we keep only the minimum needed to honor your opt-out. Website analytics data is retained in aggregate form for up to twenty-six months. You can ask us to delete your record sooner — see your rights below.

IX

How We Protect It

Client records live in access-controlled accounts on our booking platform, protected by unique staff logins. Payments are processed over encrypted connections by PCI-compliant providers. Only team members who need access to serve you have it, and access ends when someone leaves the salon.

No system is perfectly secure, and we cannot guarantee absolute security of information transmitted over the internet. If a breach ever affected your personal information, we would notify you as required by California law.

X

Your Rights

You may ask us, at any time, to do any of the following. We extend these rights to every client, whether or not you live in a state that requires it.

  • Know what personal information we hold about you, where it came from, why we collected it, and who we have disclosed it to.
  • Access a copy of the information we hold about you.
  • Correct information that is inaccurate or out of date.
  • Delete your information, subject to records we are legally required to keep.
  • Limit the use of sensitive information — though we already restrict it to performing your service.
  • Opt out of marketing at any time, without affecting your ability to book.
  • Opt out of sale or sharing — we do not sell or share personal information, so there is nothing to opt out of, but the right is yours regardless.

To make a request, email us at hello@ivorysalon.co or ask at the front desk. We will verify your identity — usually by confirming details already in your client record — and respond within 45 days, with one 45-day extension if a request is complex. You may use an authorized agent. There is no charge, and we will never discriminate against you, deny you service, or change your pricing because you exercised a privacy right. If we deny a request, we will explain why, and you may appeal by replying to our response.

California Shine the Light. California Civil Code §1798.83 lets California residents request information about personal information disclosed to third parties for those parties' own direct marketing purposes. We make no such disclosures, and never have.

XI

Children's Privacy

Our website and online booking are intended for adults. We do not knowingly collect personal information online from anyone under 18, and we do not sell, share, or use for targeted advertising any information from anyone we know to be under 16.

When a minor is a salon guest, we collect their information from a parent or guardian, who books and consents to the service. If you believe a child has provided us information directly, contact us and we will delete it.

XII

Other Sites & Changes

Our site links to third parties — our booking provider, Instagram, TikTok, review sites, and product brands. We are not responsible for their privacy practices, and we encourage you to read their policies before providing them information.

We may update this policy as our salon or the law changes. The revision date at the top of this page always reflects the current version, and material changes will be posted here before they take effect.

Contact Us

Ivory Salon — San Jose, California. Email hello@ivorysalon.co, message us on Instagram at @ivory.salonparlour, or speak to anyone at the front desk. If you have a privacy question, a request, or a concern about how we handled your information, we would genuinely like to hear about it directly before you take it anywhere else.

If any part of this is unclear, ask us. A privacy policy nobody can read isn't a privacy policy.
